In this section, the creators have control of all information in regards to the hackathons participants and their idea submissions. Users can directly shortlist teams and evaluate and create checkpoints among other features.
On the left-hand side, Users can apply filters and search the relevant information, even using the problem statements that are being addressed by each participating team.
On the left-hand side above filters, total teams and idea submitted teams depict how many teams have registered and the count of successful submissions respectively.
The Team profession filter represents all those details from the drop-down menu from the predefined questions. Filter out any kind of data depending on the profession while the data on the right will keep being updated based on the filter.
Using the idea status attribute, you can see how many ideas have been submitted by the various professions. For example: if you want to view student details, simply click on the students' box and it'll display how many have submitted.
Evaluation status is a primary filter that can be controlled from the idea classification right side panel. If no teams have been evaluated, you can hover over the box that represents the number of team idea classification and an overlay will pop up, saying that to enable this option you will need to rate/evaluate teams. A button will redirect you to evaluate teams. This is a rough draft evaluation centre, by which you will evaluate the main teams to move on to the next round.
By default the teams are unmarked. There are five parameters: Excellent, good, average, poor and not marked. Filter out the above to move on to the next stage.
Team classification is the first draft of shortlisting teams that will help us to schedule checkpoint 1 and final rounds more efficiently.
The Problem statement sorts the data based on which team have chosen a particular challenge by checking the filters.
Team size filters out teams based on the number of members. slide the bar sidebar to see the team, with the left-most starting- right being
In the below image, we can see a series of checkpoint boxes and the overall count of the registered teams. Within these checkpoint boxes, either a red dot or a green dot will appear on the top right-hand side. The colour of the dot represents the current status of the hackathon and at which stage it is.
If the dot is green, it means that the checkpoint has been completed. If a red dot appears it means the checkpoint is still at that current stage. If the dot appears to blink in the registration box, it is suggesting that the organizer has not created the next step and is still in the registration phase.
The red dot will change and blink according to the new state created. For example, the checkpoint stages.
If the user clicks on the registration box, it will show them all the team details that were present in the registration section, where you can decide to shortlist, waitlist and reject teams.
When creating a new checkpoint from the registration phase, the table below will indicate the teams that were available during the registration period, where the organizer can decide to pick and shortlist X number of teams for the next checkpoint. This works for all stages of the hackathon, through all checkpoints.
The arrows represent the notion to create the next checkpoint to shortlist teams and for further evaluation.
In the above image, in the checkpoint 2 box, there are two options that are shown that can be clicked on. Allot mentors redirects you to the checkpoint that requires allotment of mentors to respective teams. View scores display the respective teams on their domain in checkpoints. Once the checkpoint is completed the scoring of the teams can be done here. It will display the team, time, mentors, scores given by the mentors for Questions and feedback with the total scores and averages. From here you have the option to directly shortlist teams for the next round.
In the below image, you can see four different boxes. The first box evaluates teams- represents evaluating teams. This will redirect to a new page where the user can evaluate the initial draft using the 5 parameters. After this, the data of the evaluated teams will be displayed in the team idea classification.Teams shortlisted from the evaluate page will have an eye toggle button next to the 5 parameters, which will filter out the data below.
Evaluation status is the final decision of the organizer. It will be reflected on the user dashboard once the shortlisting has been announced. If you click on a team in the table, it will select the whole row and you can shortlist/waitlist/reject them based on the parameters. Even this section has the eye toggle button to filter the data.
The Shortlist announcement box has two options :
Notify only shortlisted teams, when clicked on a model will pop up showing a warning that it cant be reverted. Once confirmed to announce the team status, you can verify using an OTP after which the announcement will be made public. If clicked, only those teams will have the visibility of the status, which falls in the three categories -shortlist, wait and reject, and will get a notification of the current status of shortlisting.
Notify everyone will announce to everybody who has registered teams.
The shortlist team button will display which checkpoint you are shortlisting teams. All the teams that you have selected currently in the table, applied with the filter for shortlisted teams, will shortlist the teams for the next checkpoint.
Waitlisted teams will directly update the status, regardless of their registration phase.
Reject reams, will also instantly update the status. It will reflect in the evaluation status box and team idea classification section column.
Organizers can copy the data to the clipboard and also download it in excel format to the local device. The column visibility option can be used to filter out the columns in the table.
After the 'country' section in the table, the customized questions in pre-defined question forms will be available to view here with their respective answers.
While submitting ideas, they can also be viewed in the table after the 'country' column in the table.
In the Idea status column, it will display 'NO' if there is no submission. If an idea is submitted, a button with 'view idea' will appear in their respective rows and if clicked, a side menu will emerge with the team details, Problem statement, PDF's and powerpoints.
The evaluation status column presents the current status of the teams in the hackathon with the terms shortlisted, waitlisted or rejected.
